Job Description

Reporting to the Solution Manager II, People Systems, you will serve as the subject matter expert for Grab’s Applicant Tracking System (ATS). You will partner with Talent Acquisition and cross-functional stakeholders to improve recruiting processes through system configuration, enhancement/project delivery, issue resolution, and optimisation. This role is based onsite at Grab’s Petaling Jaya office. You will also have the opportunity to deepen your expertise across People Systems, process automation, integrations, and AI-enabled ways of working.

The Critical Tasks You Will Perform:

  • Serve as the functional/technical expert for Grab’s ATS, providing timely advice and recommendations to stakeholders.
  • Lead & implement solutions for Grab’s ATS, including solutioning, managing change requests, and resolving issues.
  • Perform essential system administration functions, including configuration, security management, complex report configuration, and bulk data processing.
  • Manage system life cycles by assisting in the review, testing, and implementation of new features, fixes, and releases.
  • Drive process improvement and innovative solutions, proactively identifying opportunities for automation to enhance organizational efficiency.
  • Develop user procedures, guidelines, documentation, and training to ensure effective adoption of new processes and functionality.

Qualifications

The must haves skills

  • Have 5-10 years of experience in HR systems, People Systems, HRIS, or ATS administration, with hands-on experience supporting business stakeholders.
  • Hands-on SmartRecruiters configuration experience, including workflows, system setup, reporting, security, or troubleshooting.
  • Experience in requirements gathering, fit-gap analysis, testing, and user acceptance testing (UAT) for system changes or enhancements.
  • Experience supporting or partnering on ATS-related process improvement, preferably in recruiting operations or talent acquisition environments.
  • Knowledge of data privacy, controls, and audit considerations in recruiting systems.
  • Working knowledge of system integrations, APIs, or data flows between ATS and HCM platforms.

Really nice to haves skills

  • Experience with Workday Core HCM or Workday Recruiting.
  • Experience supporting ATS-HCM integrations or implementation cycles.
  • Strong understanding and passion in applying AI in the overall sourcing & recruit processes.
  • Familiarity with AI productivity tools such as Claude or Cursor in a business or systems environment to improve workflows.
