REQUIRED:
- Proven experience in an office management role
- Strong organizational and communication skills
- Ability to multitask and prioritize tasks effectively
- Proficiency in QuickBooks and Microsoft Office Suite
- Experience in handling vendor relationships and office logistics
Daily Responsibilities:
- Processing and organizing incoming and outgoing mail and packages
- Answering and forwarding phone calls as necessary
- Managing check processing, deposits, and invoices in QuickBooks
- Assisting specialists with various tasks and questions
- Ensuring office areas are stocked and organized
- Handling UPS, USPS, and FedEx shipments
- Managing fax communications
- Maintaining vendor files and organizing documents
- Bi-Weekly Responsibilities:
- Managing employee timesheets and communication
- Coordinating office supply needs
Monthly Responsibilities:
- Tracking birthdays and anniversaries
- Managing office supply orders
- Making travel arrangements for employees
- Sending out packages and submitting meter readings
- Organizing office events and lunches
Randomly As Needed Responsibilities:
- Assisting with document signings and mailings
- Handling tax forms and new hire paperwork
- Managing employee enrollments and cancellations
- Handling technical, email, computer, and phone issues
- Making travel reservations and managing building issues
- Working with vendors and completing client audits
- Ordering supplies and monitoring employee records
