Role Summar
As a Senior Facilities Associate, you will play a key role in ensuring the smooth and efficient delivery of facilities operations. You will work closely with internal teams and external partners to maintain high standards of service, support day-to-day operations, and drive continuous improvement across processes. This is an exciting opportunity to grow professionally while contributing to a mission-driven organization.
Responsibilities:
- Outline the day-to-day and ad-hoc tasks for this role.
- Monitor daily operations to ensure smooth service delivery and promptly resolve issues
- Track tasks, follow up on actions, and ensure timely completion of deliverables
- Coordinate with internal teams and external partners to support operational needs
- Maintain accurate records, documentation, and basic reporting
- Ensure adherence to established processes, standards, and compliance requirements
- Manage resources and ensure availability to support operations
- Conduct routine checks to maintain quality, safety, and performance standards
- Provide regular updates on operational status and key activities
- Respond to incidents, escalations, and urgent operational issues
- Support special projects, audits, and business-driven initiatives
- Assist with troubleshooting and resolving complex or non-routine challenges
- Handle time-sensitive requests, including vendor coordination and service needs
- Support continuous improvement efforts and process enhancements
- Assist during peak periods, events, or operational disruptions as needed

- Maintenance Skills – Managing repairs, preventive maintenance, and safety compliance
- Security Skills – Understanding incident response and coordinating with security teams and authorities.
- Cleaning & Sanitation Skills – Applying sanitation standards and driving improvements based on data.
- Health & Compliance Skills – Developing compliance strategies and leading audits.
- Emergency Management Skills – Planning, assessing risks, and managing emergency responses.
- Energy Management Skills – Driving energy efficiency, ESG initiatives, and cost optimization.
- Space Planning & Workplace Strategy – Optimizing layouts, hybrid workplace design, and utilization tracking and aligning with business needs.
- Vendor Management Skills – Managing vendor relationships, contracts, and performance.
- Team Management Skills – Leading and supporting teams, driving performance, and fostering collaboration.
- Communication Skills – Ensuring clear, timely, and effective communication across stakeholders.
- SOP & Policy Management Skills – Developing, implementing, and maintaining SOPs and policies to ensure consistency and compliance.
- Data & Reporting Skills – Using dashboards, tracking metrics, forecasting
- Inventory Management Skills – Tracking, managing, and optimizing inventory levels to ensure availability and control costs
- Compliance & Audit Skills – Ensuring adherence to internal policies and external regulations, including preparing for, conducting, and participating in internal and external audits to ensure full compliance.
